The bound volumes were divided into alphabetical sections. Within each alphabetical section, the arrangement is chronological. The series was created by the Parks and Recreations Department (AG-0010) in the period 04/09/1958 to 31/12/1971.

Each entry refers to the letter number assigned to letters in Lord Mayor's Outgoing Correspondence (AS-0067), and includes the name of the individual or organisation to whom the letter was addressed and the date of the letter sent.

From 14 November 1967 to 26 September 1969, the indexes are to the correspondence of the Chief Commissioner. No indexes were created after 1971, although the correspondence in AS-0067 dates to 1982.
