The Project (Resolution of Council 3 October 1989) was approved as a two year Priority Project and commenced on the 5 March 1990 with the appointment of Samantha Hughes as Project Archivist.
The forms, designed by the Project Archivist, have several purposes. Initially, the forms were used for sentencing the plans, and next to each plan number either "P" (permanent), or "T" (temporary), was written. The forms were then forwarded to a conservation assistant. As each plan was treated the date of treatment and the microfilm batch number was noted on the form. When the plans were returned from microfilming the numbers were checked off against the form to ensure that the plan had been returned. A cross or a dash in the destroyed column was noted for all permanent plans and a tick for temporary plans. When the aperture cards were returned a tick was placed in the "cards checked" column to ensure every plan was filmed and cards received.
The form also has a column to note the RDA (Records Destruction Authority) number next to the appropriate temporary plans.
The series is arranged by plan series (E1, E3, S6 etc) and the forms are in plan number order.
The series records many details about the identification, treatment, microfilming and destruction of Engineer's plans at item level and is the only complete item record of which plans have been filmed and destroyed. The RDA list records runs of numbers not each item number.
