The letters are arranged by name of department, then chronological by the date of the letter sent. The series was created by the Town Clerk's Department (AG-0040).

The books that contained the copies of letters sent no longer exist. The last volume in this series (Vol 9, A-00431425), refers to a sequence of books (book 19 to book 28) but these are not held by Archives.

After 1900, copies of letters sent were usually placed with the letter Council received on the subject in Town Clerk's Correspondence Folders (AS-0028), and later Town Clerk's Correspondence Files (AS-0034).

The earlier indexes in this series record the year, the name of the government department the letter was sent to, the subject, and the letter number.

The later indexes also record the date the letter was sent. The letter number relates to the missing volumes of letter books, not to files in the series Town Clerk's Correspondence Folders (AS-0028) and Town Clerk's Correspondence Files (AS-0034). However, the subject column often included a reference to files in these series and a copy of the letter sent can usually be found in these two series.

If there is no reference to a Town Clerk's file number in the subject column, the Indexes to Letters Received (AS-0003) and Indexes to the Town Clerk's Department Correspondence Files (AS-0006) can be used to locate a related file.

Prior to 1910, letters sent to Government departments were indexed with all other letters sent in Indexes to Letters Sent (AS-0004).
