A copy of the Lord Mayor's reply and any papers related to the invitation have been stapled together. The correspondence, formerly stored in suspension pockets in four-drawer filing cabinets, was arranged alphabetically then chronologically, with the most recent correspondence filed at the front.

Inwards and outwards correspondence was stored together in this series. The correspondence was filed according to the name of the individual or organisation that extended the invitation or wrote to the Lord Mayor.

Later invitations dating from 1983 are in Lord Mayor Sutherland's Subject Files, 1980 – 1987 (AS-0203).
