Most importantly the cards record street names and plan numbers of plans relating to that street, providing the essential link for retrieval of relevant plans.

It is estimated that the index was created in the 1920s. However, entries relate to the very earliest plans so that at its creation the index was up to date. It is not known how access and retrieval of plans was previously conducted. The index has always been maintained by the plans custodian - as plan numbers were allocated the corresponding information was added to the index cards.

This index refers to "office copy" plans (plans copied from the linen or tracing onto paper and then given an office copy number. The office copy number consists of an alphanumeric code: E1, E2, E3, E4, S1, S2, S3A, S4, S5, S6, S7A/B/C. The number identifies the plan as an Engineering or survey drawing and type of drawing, for example E1 = road reconstruction and S6 = proposed survey work. A sheet number is then allocated for each new job. The office copy number is also known as the catalogue number. The plan numbers are listed in chronological order on each card.

The index is arranged into alphabetical order by street name and the plan numbers are added to the card as the plans are created, that is, like plans are not listed together except in the case of very long streets. George Street cards, for example, are sub-arranged into plan types - E4 lighting, E1 road reconstruction, S4 traffic plans and so on.

Information on the cards includes exact location, type of work, date the plan was drawn, and remarks, for example, contract numbers.

The information on these cards was transferred to the PLANES computer system.
