- Health Officer (AG-0095) in the period 20/04/1857 to 28/12/1899
- Inspector of Nuisances (AG-0075) in the period 23/03/1847 to 28/12/1899
- City Engineer and City Surveyor’s Department I (AG-0086) in the period 05/12/1843 to 28/12/1899
- Building Surveyor (AG-0076) in the period 03/05/1847 to 28/12/1899
- City Solicitor (AG-0074) in the period 21/01/1843 to 28/12/1899
- City Treasury Department I (AG-0012) in the period 21/01/1843 to 28/12/1899
- Audit Department I (AG-0083) in the period 01/01/1899 to 28/12/1899

The letters are indexed by the Indexes to Letters Received (AS-0003) in the period 03/01/1854 to 28/12/1899 and registered in the Registers of Letters Received (AS-0002) in the period 27/12/1853 to 28/12/1899.

Not all of the correspondence received by Council was placed in this series. Prior to 1859, letters received from the Colonial Secretary are in series Letters Received from the Colonial Secretary (AS-0025). Letters received from the City Solicitor prior to 1853 are in series City Solicitor's Letters (AS-0876), and petitions from 1844, and many from 1857 to 1870, are in series Petitions to Council (AS-0875). Some of the letters received that were forwarded to the City Surveyor for action, remained in his correspondence series, City Surveyor's Correspondence and Water Rate Register (AS-0883).

Many letters were also referred to the relevant committee of Council for action. For example, nearly every report in series Finance Committee Reports (AS-0022) has the relevant letter received attached to it. Letters received were also placed in the following series:
- Committee Reports (AS-0021);
- Reports of the Improvements Committee (AS-0023), and
- Reports of the Lighting Committee (AS-0024).

As each letter was received it was numbered with a single running number allocated from the series Register of Letters Received (AS-0002). This number was then written on the top right-hand corner of the letter. The top of the letter was also annotated with the date of receipt, the author of the letter, and a brief summary of the subject matter. The registers were also annotated to show if the letter had been placed in Letters Received (AS-0026) (referred to in the registers as letter books), or if it had been placed with the reports of the relevant committee. For example, ‘Fin Report 23 Vol 1’ means that the letter has been placed in Reports of the Finance Committee (AS-0022), volume 1 of that year, report number 23.

The letters were then indexed, usually by the name of the writer. From 1843 to 1852, each volume was indexed separately at the front. From 1853, separate volumes of indexes were prepared in indexes to Letters Received (AS-0003).

Any action(s) taken by the relevant Council officer was generally noted on the letter in the margin or on the folded lower right-hand corner of the letter (ie on the reverse).

The practice of pasting letters received into bound volumes ceased at the end of 1899. From 1900, they were placed into manila folders with an annual single numbering system and known as the Town Clerk's Correspondence Folders (AS-0028).

All items in this series have been catalogued by volunteers. Some large petitions include the names of all the signatories listed in the description field.
