All of the existing files in this series have been listed in the catalogue. Prior to this, the main index used to locate files was Indexes to Town Clerk's Department Correspondence Files (AS-0006). The files are also indexed in Special Registrations (AS-0123), which is an index to files with significant or recurring subject matters, and through the Proceedings of Council (AS-0029), where file numbers related to a resolution of Council are often noted in the margin.

Until about 1978, each department of Council tended to create and maintain their own series of correspondence files, which usually contained copies of papers on the Town Clerk's files. This included:
- City Building Surveyor's Department Correspondence Files (AS-0138) 1936-1978
- City Engineer's Department Correspondence Files (AS-0144) 1925-1976
- City Health Department Correspondence Files (AS-0145) 1946-1979
- City Librarian's Correspondence, 1942 (AS-0277)
- Parks Department Correspondence Files (AS-0946) 1966-1978, and
- Cleansing Department Correspondence Files (AS-0295) 1949-1971.
Papers in Development Application Files (AS-0062) were often reproduced in Town Clerk's files.

In 1979, the Deputy Town Clerk approved of the destruction of files from 1949 to 1960 that were ‘superfluous to Council's present requirements’. (See AS-0116, 19.16.0031). In 1982, Town Clerk's files 1963-1976 were culled by staff of the Records and Archives Section. (See AS-0116, 19.16.0028 and 19.16.0117). It is obvious that earlier files in this series were also culled as there are a lot of files missing for the years 1914-1915, 1920, 1922, 1923, 1925-1930 and 1932-1946. Culling of files for years not previously affected, was undertaken by Archives staff in 2000-2001 as part of the project to list all items of continuing value in the Tabularium database (a preceeding archives control system).

In 1968, when South Sydney Municipal Council was formed and split from Sydney City Council, important Town Clerk's files relating to South Sydney's area were transferred to the custody of South Sydney Council. These files were top-numbered by staff in South Sydney and are now part of South Sydney Municipal Council General Correspondence Files (AS-0087)

This series finished in 1978. In 1979, Council introduced a centralised filing system using a multiple number classified system, Central Activity Files (AS-0116).
